5 High-Converting Emails For VoIP Resellers [FREE TEMPLATES] featured image

You know what you're good at - managing communications, keeping things running smooth, and keeping your customers happy. If you're less confident in your ability to sell your VoIP, PBX, and UCaaS services, we've got you covered.

You don't have to be an expert salesperson to land new business - we've done a lot of the heavy lifting and research for you. Through my experience and my teams' experiences, we've identified some key phrases that are effective at getting new and repeat business. 

Use these proven, high-converting templates to send to your prospects and customers to increase your sales and grow your business.


Email 1:  Cold Sales Introduction

Purpose: This is the equivalent to cold calling: you have someone's contact information, but not a longstanding relationship with them. Note that cold emails are different from SPAM emails, which are illegal - consult this guide from GMass if you want to ensure you're not violating any SPAM laws in your country.  Generally speaking, you just need to act in good faith, identify your business immediately, and make it clear what the purpose of your email is.

Cold Sales Introduction Template

Hi [Name], 

This is [Your name], from [Your company]. We met through [Referral name, mutual contact, event, etc.]. I wanted to see if you're satisfied with your current communications partner. [Your company] works with many other [Small/med/large] businesses in [Insert Industry] to provide integrated communication services - including phone, video, text, and instant message both for your internal teams and external communications. We find a lot of our customers are frustrated with lack of integration, frequent downtimes, and long holds for support - does that sound familiar? If so, I'd love to schedule a quick 15-20 minute call to discuss how we can help.

We offer:

  • Secure, fast, and scalable phone service - using landlines, cellphones, and/or the web
  • HD web meetings
  • Team chat

Email 2: Nonresponse Email

Purpose: If you've already reached out to a lead via email, phone, or both and haven't heard back, you can use this template as a final check-in. If you're using an email sending tool like MailChimp or Constant Contact that lets you see who opened your email but didn't reply, prioritize those contacts when sending a nonresponse email.

Hi [Name], 

Following up after my last [Email/call], I wanted to show you how [Your company] can handle all of [Company name]'s [Telephone/video conferencing/call center] needs. I want to give you some resources that will be helpful as you decide on a provider:

  • [Insert helpful link - blog, website, article]
  • [Insert link to case study or review of your company]

Would it be helpful to meet for 15-20 minutes to discuss [Company name]'s goals and how [Your company] can help?

Email 3: Post-Call or Voicemail Email

Purpose: This email is designed to be sent after you've reached out to a prospect over the phone. Whether you spoke with the person directly or reached their voicemail, sending a follow-up email keeps you top of mind. This is especially important if you were unable to speak to the person, as voicemails are easily deleted.

Hi [Name], 

I enjoyed talking with you on the phone today, and discussing [Company name]'s goals and what you're looking for in a communications partner. I know you needed some time to discuss with your team, so I'll check back in with you next week. Sound good?

Post-Voicemail Template

Hi [Name], 

I just left a message on your phone. I'd love to discuss [Company name]'s goals and what you're looking for in a communications partner. This typically only takes about 15-20 minutes, what day this week works best for you?

Email 4: Quote Email

Purpose: Let's say you've done the hard work of convincing a lead to consider using you as a MSP. Congrats! Quote emails tend to be to the point, but this is another opportunity to remind a lead of your unique differentiator and demonstrate value. Email 5: Welcome Email

Purpose: Once you've landed a sale, the sales process doesn't stop there. A welcome email is a great way to not only make your new customer feel appreciated, but also to facilitate set-up and gather any necessary information you may need.

Thank you for partnering with [Your company] for your communication needs! I'm excited to get your project started, and want to get this off the ground as soon as possible for you. To complete your set-up, I just need [A 30 minute phone call/To schedule a time to come out to your office] to get everything we need. Please set a time on my calendar that works best for you.
