During our latest Tech Tuesday, we introduced two major launches: the new RingOS Marketplace and our first native app—QuickBooks Online (QBO) Integration.
Below is a recap of the key questions partners asked during the session, plus insights from RingLogix CEO Albert Diaz, VP of Partner Operations Wayne Landt, and Partner Solutions Manager Jaime Norris.
What is the RingOS Marketplace—and why did you build it?
Albert Diaz:
“RingOS has always been built for control, automation, and speed. The Marketplace is the next step in that journey—it lets us connect the RingOS engine to more apps, services, and tools MSPs already use. Our goal is to unify your ecosystem, reduce manual work, and expand what RingOS can do without asking you to leave the platform.”
Why was QuickBooks Online chosen as the first app?
Albert Diaz:
“It’s the one integration our partners asked for the most. MSPs were already billing and collecting in RingOS—but then spending 8–10 hours a month manually re-entering invoices into QuickBooks. This app closes that gap by syncing invoice records directly into QBO—accurately and securely.”
How does the integration work?
The QBO integration syncs RingOS invoice records—including subscriptions, charges, credits, and taxes—into QuickBooks Online.
- One-way sync: From RingOS to QBO
- Not a replacement for your bookkeeper—but a powerful tool that saves time and reduces reconciliation errors
- Mapping flexibility: Choose between simple category-level mappings or more granular product-level mappings (like separating PBX vs. SIP or IT/MSP revenue)
What exactly gets synced?
- Invoices
- Charges
- Credits
- Subscription-level detail
- Tax line items
- Mappings to products, services, and income accounts in QBO
Each synced invoice is structured to match the original RingOS invoice, including detailed or grouped line items based on your style.
Do I need to be a QuickBooks expert to use this?
Albert Diaz:
“We’re not QuickBooks accountants—but we designed this for people who already work in QuickBooks or have someone who does. If terms like 'chart of accounts' or 'P&L' are unfamiliar, we recommend brushing up before diving in. But if you’ve used QBO before, this will feel very familiar.”
What do I need to set up first?
- A QBO account with any standard plan except “Solopreneur”, because it doesn't have the Chart of Accounts feature.
- QBO Chart of Account and Product & Service records matching how you want to track your revenue.
- Customer mappings between RingOS and QuickBooks
- Default charge mappings between RingOS and QuickBooks
- Optionally, you can set up advanced tax and subscription mappings for more detailed reporting.
How does this help with reconciliation?
Albert Diaz:
“Right now, without the integration, MSPs are doing double entry. You bill and collect in RingOS, then manually record that in QuickBooks. That’s time-consuming—and error-prone. This integration gives you the data you need in QuickBooks to match deposits and close the books faster.”
Can I go granular with how revenue is reported?
Yes.
You can map individual subscriptions (e.g., PBX, SIP, fax) to specific QBO products/services and income accounts. That means your P&L can show exactly where your revenue is coming from—not just lump sums.
What happens if I re-sync or miss a mapping?
- Synced invoices are tracked with a status
- If an invoice is skipped due to missing mappings, you’ll be notified and can fix the issue before trying again
- Errors will show the exact QuickBooks API message so you or your Success Manager can troubleshoot
Can I sync older invoices?
Yes—up to 120 days. Individual transaction records are available for 120 days, so syncing is available for any invoice generated within the last 3–4 months.
Is it secure?
Yes. This is a native QuickBooks app, approved and listed through Intuit’s marketplace process. The connection is established via a secure OAuth flow to an approved app, and RingLogix never touches or stores your QuickBooks credentials.
Is there a cost to use the integration?
“Nope. The QBO integration is free for all current RingLogix partners. There may be future apps in the Marketplace with vendor fees or service costs, but this one will remain free for existing partners.”
What’s next?
This is just the beginning. Here’s what’s already in development:
- Automatic syncing (no button clicks required)
- Payment and refund syncing
- More reconciliation support
- More apps coming soon to the Marketplace
Albert Diaz:
“Our vision has always been quote to cash—but now we’re going beyond that. It’s quote to bookkeeping. One system. One experience. That’s where RingOS is going.”

Final Thoughts
RingOS already gives MSPs total control over quoting, activation, billing, and support. With the QBO integration, that control now extends into your books—without adding more steps to your workflow.
This integration isn’t about doing more work.
It’s about doing less—and getting more out of every tool you already use.
